The Apprenticeship Service provides employers with a centralised platform to effectively manage the apprenticeship programmes running in their business and the training providers delivering them. You’ll receive a monthly deduction from your Apprenticeship Service account in line with the apprenticeships you have running and with us as your training provider, we’ll support you to access levy transfers and utilise as much of your levy pot (if you pay into apprenticeship levy) as possible before it expires after a rolling 24 month period.

Getting started with your Apprenticeship Service account

Here's what you need to set up your account

  • Valid work email address
  • Government Gateway login details for your organisation (obtained from your payroll or finance department)
  • If your annual pay bill is less than £3 million, you can use the accounts office reference number and employer PAYE scheme reference number.
  • Authorization to add PAYE schemes to the account
  • Authorization to accept the employer agreement on behalf of your organisation
  • Additional details such as Companies House Number, Charity Number, or Public Body Name may be required in case the system cannot match your organisation automatically.

Reserving funds on the Apprenticeship Service as a SME

If you're a SME and therefore don't pay into the apprenticeship levy, we'll use your Apprenticeship Service account to 'reserve' funds for the apprenticeships you have planned for your business. You can reserve funds up to three months before an apprenticeship is planned to start and if an apprentice isn't enrolled within three months of the stated start date, your reservation is removed. For example, in November employers will be able to reserve funds three months in advance for a start the following January. If the reservation is not used by March, it will expire.
